If you have arthritis, carpel tunnel syndrome or some other condition that weakens your arms, book holders or book stands can bring relief when reading. Some of these devices keep the pages open with clips and some with clear vinyl straps that can be read through.

Another type of book holder will prop your reading material up on a flat surface such as your office desk, a counter top or a lap desk. The best of these types of book holders will also hold the pages open and be adjustable so that you can position your book or magazine to the proper angle. This is also important if you are using the book stand for your cook book and standing at the kitchen counter. The holder or stand should also be adjustable so it will accommodate books of varying sizes and weights. Many of these will also accommodate electronic readers such as the Kindle.

If there are no limits on space and cost, look for a floor model book holder with casters for easy movement from room to room. Although preparation of your attendees’ nametags is usually the last thing on your to-do list, it doesn’t mean it’s the least important. There are several important nametag issues to consider that will assure the comfort and approachability of your attendees. Ask yourself the following questions, and you will be able to effectively manage your nametag creation and distribution.

What is the dress code?

Decide on nametag and holder style that will best accommodate your members’ wardrobes, i.e., adhesive, magnet, clip, lanyard.

What information will be printed on the nametag?

Other than their name, include the job title, company and hometown. This is a great way to expedite networking and break the ice.

Will you need designators?

If you have a varied audience with exhibitors, speakers, buyers, spouses, suppliers, managers, etc., consider some type of designation, either on the nametag itself or as a stackable ribbon.

Is anonymity an issue with some attendees?

For singles, youth, support or health groups it will be wise to limit the amount of information that appears on the nametags for safety and emotional considerations.

You will need to section off part of your registration area specifically for your attendees’ nametags. The display of the nametags is up to you, but I recommend some of these organizers for maximum accessibility.

What if your attendees bring their own nametags?

For Chambers of Commerce or other networking groups, some people prefer to bring their own custom nametags. Don’t be offended if they want to wear their own nametag. Hey, at least they wear a nametag!

What is the function of their nametags?

If your attendees’ nametags have more than one function, i.e., meal tickets, security or table information, be sure to include that in your when you order and/or create the nametag.

What if someone registers late or doesn’t have a nametag?

Bring a portable printer, extra nametags, additional lanyards, Sharpies, badge holders and clips. It’s always good to be prepared. Also, if a last-minute attendee needs a nametag, don’t give them a second-rate “orphan-tag” that looks nothing like the others. They’re already embarrassed enough!

REMEMBER: Nametags aren’t everyone’s favorite part of the meeting, but if they are not created and distributed effectively, frustration will arise. And it will reflect poorly on you as the meeting planner. So consider these nametag issues and you will ease the burden of name forgetting, starting conversations and networking. And go the extra mile! Why? So your attendees won’t have to!

Badge Printer

The ID card printer selection is often based on the card output requirements. To choose the best printer for your organization, you need to know if the card will be printed on just one side or both sides of the printer. Sometimes a higher level of printer is needed due to the requirements of the card. If you need high security options on the card or if you will be printing a high volume of the cards, an entry level printer will probably not work for you. Specialized printer models are available for efficiently meeting specific needs.

Software

Current and future plans are important for badge making make the software possible. If upcoming plans are to save a database of cards or integrate printing capabilities from a network, some software options will not be the best option. Many software manufacturers provide a 30 day free trial of their software so you can get a good feel as to whether or not it will fit your badge making needs

Camera

Photographs of the card holder are common on most ID cards. Great pictures help to make employees less apprehensive about wearing their badge. Various camera options are available with each having limitations and advantages. Over the counter digital cameras, web cameras and high powered cameras may all be used to capture needed photographs.

Cardstock

Standard basic IDs are printed on 30 ml image grade cards. Newer methodologies and ideas have lead to many ID badge printers also printing on thin 10 ml cards and the thicker 40 ml cards. Cards with security measures or specialized functions are increasingly used. There is a thin sticky cardstock that can be used on an access card for the ID portion and can be adhered to the security card while needed.

Supplies

Additional costs of an ID card printer system would include printer ribbons, cards and cleaning kits. Badge holders may be used if the cardholders will be wearing their badges.

To make sure that badge printing continues without interruption, you will want to make sure that you have plenty of ID cardstock and printer ribbons available. These supplies are available from your security integrator or online. The cleaning kit is normally used about every 1000 prints. Current printers provide a warning message to indicate that it is time to clean the printer. Keeping the printer clean is important to the System life and a long socket.

I always laugh when I read the statements offered up for incorporating a business in marketing pieces. They always tout incorporating as a way to protect one’s personal assets from the losses of the business. Okay, but what about the business assets? How are you going to pay your mortgage when all the assets of your business are lost in a lawsuit? It makes no sense, just like the way many businesses fail to take security seriously.

There are two types of security issues a business has to consider. The first is the caveman threat, to wit, someone physically breaking in and stealing something. This is a viable threat, but one that obviously can be dealt with through a classic security system. The idea would be to install an alarm system that alerts a security firm that an unauthorized entry has occurred so that the police and business owners may be alerted.

The second security issue that arises has to do with the key assets of the business. These assets are often comprised of business trade secrets. They exist as computer files and/or hard copies. Does your business have any method for securing these? Does it even have a policy regarding whether employees can copy said files and take them off the premises? If not, what is to keep a disgruntled employee from heading over to your competitor with your business secrets in hand in an effort to get a new job? Let’s look at a classic example.

Formula One is a form of open wheel racing. The races take place in different countries around the globe and the television audience numbers are in the hundreds of millions viewers for each race. The two big rivals are McLaren Mercedes and Ferrari. One year, a disgruntled worked from Ferrari allegedly went to Mercedes seeking a job and brought copies of a lot of the Ferrari technical data. Lawsuits and investigations flew. At the end of the day, McLaren was fined a staggering $100 million dollars and nearly barred from the championship.

This may seem an extreme example, but is it really? Give some thought to the key business assets of your company. Who has access to them? What have you done to secure them? If the answers unnerve you, they should be a call to action!

There are many things that you can do to improve your speaking ability. I think that a necessary area to that almost always benefits the speaker is the ability to speck and influence the audience. This mini course will help in many way and we will take it a step at a time.

1. RECORD YOUR VOICE

It is invaluable to record yourself. It will give you a new perspective on how you speak and make a point. It will also be a reference for you. I use my computer and a microphone. A cassette recorder or a micro-cassette recorded will be fine. If you have a video recorder and a tripod this would also serve nicely.

I would like you to record yourself in two different ways. First, simply read from a book or magazine for one to two minutes. Then record yourself without a prepared script. Pick a topic and speak about it for 1 to 2 minutes.

These recordings will be enough for you to now evaluate yourself. An objective evaluation at this point is very important. I strongly suggest you to take it seriously and it can be insightful and fun at the same time.

The goal here is to gain insight on how others hear you. You should listen for specific things such as the way you take breaths, your pronunciation, your perceived pace of speaking. It is even good to note the number of words and then define your Words per minute speed of the voice. These records and the more you are at least one observer is a great resource for you to appreciate them.

Second powerful list

Many people do not like how they sound. I do not think they think they are. We do not hear other people we've heard. AnySo you understand how important it is that they think will sell the rights.

The next part of the process is to determine the improvements or needs. Consider the following criteria:

o Tentative or uncertain

o Mumbles

o Breath too loud

o Breath not paced well

o Unpleasant tone

o Strong accent

o Tired or lacking enthusiasm

o Uses non-words, such as “ah,” “uh,” “um,” or “you know”

o Too high-pitched

o Nasal

o Not relaxed

o Singsong

o Threatening

Again, list additional adjectives that come to mind.

Making lists of strengths and improvements will help you to define the things you don’t know you do well or areas you where you didn’t know you needed to improve. Identifying these is extremely valuable. Once you know your strengths, be grateful for them. Now that you have your improvements list, you are ready to advance.

4. DEFINE WHO WILL HELP YOU

As you seek to improve, enlisting the support of someone who knows you well and who you feel is easy to work with can be a big help. It may be best to have two people you can count on for comments and suggestions. Any more than two may be unnecessary.

Explain to your helpers that you would like them to listen to you or your recordings on occasion.

It is important to have a prepared script and then to speak from this script and have your supporters evaluate you. The feedback from others that are objective in evaluating your speech is an important part of the process of improvement. After evaluating your recording on your own, have two other people evaluate you as well using the same criteria. Then combine the feedback from these evaluations.

Once you have recorded yourself and with your rating and the feedback of others you will be ready to map out a plan for significant improvement.

That’s it for part 1. You are now prepared to make some progress towards improving your voice in very specific areas. You will be pleasantly surprised at how quickly you can make progress with a little focus and effort.

This article presents some of the key principles of persuasive writing. The elements are essentially the same for all types of communications, so I will use the generic term proposal to encompass them all. For more detailed guidance about proposal writing, I recommend reading Persuasive Business Proposals; Writing to Win More Customers, Clients, and Contracts by Tom Sant.

Seven Elements of a Persuasive Presentation

In order to persuade others to take the actions you recommend, you must engage both their minds and their emotions. You need to present information that is understandable and accurate in a style that is thoughtful and engaging.

The exact format of your presentations will vary, but in general you will be well-advised to follow the seven steps outlined below. For shorter proposals, such as letters, memos, and e-mails, you may choose to abbreviate or skip some of these steps.

Step #1: Establish rapport.

Briefly state your reason for writing. Did someone refer you? Are you responding to a request or invitation? Whatever your reason, get to the point without fawning.

Step #2: Clearly state the problem.

People will be more receptive to your ideas when they know that you have understood their concerns. Demonstrate empathy by clearly stating their difficulty, need, issue, or point of view.

If you skip this step and launch right into your recommendation, readers of your proposal may feel skeptical and defensive. They will tend to think that you’re more interested in your agenda than in theirs, and they may be right!

Summarize what they have told you about the costs associated with the issue or problem, and add any additional thoughts that come to your mind. Paint a realistic picture and create a sense of urgency. After reading this section of your proposal, you want people to say, “It’s painful to see it in writing, but that hits the nail on the head. We need to do something now!”

Step#3: Summarize the desired outcomes

List the goals your audience wants to achieve. Make it clear that your goal is to help them accomplish their goal.

Step #4: Highlight alternative solutions.

Briefly describe any alternative solutions that are being considered or that come to your mind, and state the shortcomings of each. People will be better able to focus on your proposed solution if you first help them close their minds to the other options. And they will have more confidence in your recommendation if they know you’ve considered various courses of action.

Step #5: Recommend your solution.

Now that you have stated the problem and ruled out alternative solutions, it’s time to make your recommendation. State precisely how your idea, service, or product will solve their problem and help them attain their goals. Use positive language: “I am confident that within X months you will see …”

Step #6: Back up your claims.

Demonstrate that you can deliver what you have promised. Cite case studies, testimonials, and supporting data from other sources. Provide information about your company’s staff, management philosophy, guarantees, and past successes.

Step #7: Ask for agreement.

Clearly ask for the order, the meeting, or whatever you want. State how you will follow up. (”I will call you in a few days to schedule an appointment” or “Please sign the enclosed contract and return it to me.”)

Close warmly, but professionally. Don’t thank people for reading your proposal. Make it good, and they’ll thank You!
